Booking terms and conditions for BDA sponsor and exhibitor
- If your package includes a stand during the study day, display set up will be on the morning of the event and displays should be ready for visitors who register and removed after the event closes. Unless prior arrangements have been made, materials must be removed from the venue on the day. Whilst every effort will be made to situate the display in the best possible location, the organisers will have final say on its location (such location to be within the venue’s health and safety guidelines). Timings will be confirmed for each event/study day.
- The BDA reserve the right to inspect all displays. Exhibits which do not satisfy the BDA shall be modified forthwith or may be removed at the expense of the exhibitor.
- Exhibitors will not be not be permitted to display exhibits outside the limits of the space booked above, or in such a way as to affect the displays of neighbouring Exhibitors or obstruct gangways. The BDA reserves the right to inspect all exhibits. Exhibits which do not satisfy the BDA shall be modified or may be removed at the expense of the Exhibitor.
- Whilst every reasonable effort will be made to provide a secure environment for the exhibition, the BDA can not be held responsible for the theft of Exhibitor’s goods or assume responsibility for damage to property.
- The Exhibitor agrees to take reasonable care not to damage the venue’s property by the use of inappropriate adhesive for mounting posters. The Exhibitor will be liable for any damage to the venue.
- The Exhibitor agrees to abide by any regulations and instructions for dealing with emergencies imposed by the BDA and the venue.
- The BDA will not be held responsible if for any reason outside their control the study day does not commence or has to be curtailed early.
- Neither the BDA nor the venue will be held responsible for any personal injury to Exhibitors, their staff or visitors to the stand. Neither will they be held responsible for loss or damage to exhibition equipment. It is the responsibility of each Exhibitor to arrange their own insurance to cover such eventualities.
- Due to the data protection rules, we will not be able to provide you with a delegate contact list, so please make the most of the contact you have at the event. It is your responsibility to ensure you have a legal basis for storing this information, complying with GDPR.
Note the following terms and conditions
From January 2020, the BDA has a new policy on commercial relationships with companies who manufacture breastmilk substitutes. The purpose of this is to support practicing dietitians to access CPD whilst maintaining alignment with the UK Baby Friendly Initiative guidelines. If your organisation manufactures and market breastmilk substitutes, supplies ingredients to the sector or provides equipment to support bottle feeding, the below will be in place. The BDA will continue to work as usual with your organisation on all matters unrelated to feeding of children under 3 years.
- No brand-level sponsorship will be permitted at BDA events for your BMS products – including FSMP products.
- No BMS product or information on breastmilk substitutes may be promoted at BDA conferences, seminars or meetings.
- The display must not include any item relating to breastmilk substitutes (including products, leaflets, technical information, branded stationery), or any third-party papers, journals or leaflets on feeding children aged under 3 (even if not published by the brand or brand owner).
- Please inform the company representatives who will be attending the event on the day about this new policy. If you are in any doubt about which products can be discussed please contact your meeting organiser. Note clause 2 above.
- Your company representatives who are dietitians may register to attend any BDA event as delegates for clinical updates to support their practice and development. They should not be asked to attend to gain commercial intelligence.
- Organisers of BDA meetings (including group and branch volunteers) may invite representatives from your organisation to speak at any BDA event. However, no sponsorship fee can be requested for these activities if the topic is on infant feeding for children aged under 3 years. These presentations should only focus on scientific updates to update dietitians for their clinical practice.
